Participant Sorting & RSVP

After having closed the participants applications, we had to sort the participants to projects. Once an assignment has been set, we sent RSVP email to the participant to confirm their attendance.

Data overview

We had received about 115 participant applications by the time that we closed the application (21st of Sept). First step before sorting the participants into projects was to visualize the participant application data. Baraa did that and detailed it here and the code for the plotting here.

Prioritization

We received many applications for hackseq18. For this reason, we decided to sort out participants by prioritizing applicants who indicated that they can attend all three days. Our strategy details is here.

The sorting itself

The four of us met within a week of participant applications close date. In a single ~3 hours meeting we assigned all participants to projects using the spreadsheet here.

RSVP

The day after the sorting meeting we sent out RSVP's with a link to a Google Form (forms are here). We gave the prioritized participant batch two and half days to RSVP before we sent out the rest of the participants their RSVP's. The RSVP emails are here

Watching RSVP counts and closing projects that fill up

Since we sent out more RSVP emails than we could take in, we kept a watch on the RSVP forms. Whenever a project got full, we no longer accepted RSVP's for that project (by closing the Google Form for that project).
