Addressing Results of SSC Description Survey

Purpose

Update ArchivesSpace with missing description identified in the SSC Description Survey or identify work necessary to do so.

Process

  • Check SSC Description Survey results to find missing description (starting Sprint 12, ignore the SSC-ACC column). In addition, some cards have comments (indicated by a blue label) added with other changes that need to be made.
  • Add or update description to the resource record if doing so is simple. Examples of simple changes:
    • Adding missing notes
    • Adding or updating a brief container inventory via the staff interface
    • Correcting typos
  • If more complex work is required, create a new card on the backlog board explaining what needs to be done (1 card per collection). Examples of complex changes:
    • Adding large container inventories
    • Combining multiple biographical notes
  • Simple changes should be made even if the collection also requires complex changes, however aim for spending no more than fifteen minutes on a collection.
  • If any changes are made, create a revision statement describing them.
  • Move the card to done

When Adding Accession Inventories

Follow rules for component unique identifiers.

Add a Processing Information note with the text:

This inventory was created at time of accessioning and may be incomplete.

Only add inventories in which all boxes are listed in the SSC locations for paging spreadsheet
